Who You Are:
You’re dependable, detail-oriented, and have a strong foundation in administrative or in-office work. You’re experienced with Microsoft 365—comfortable navigating Outlook, Excel, Teams, and SharePoint to complete tasks efficiently and accurately. You’re proactive, thrive in a fast-paced environment, and enjoy managing logistics and keeping things organized.
You have a knack for understanding systems and workflows—whether you're preparing a quote, tracking an order, or supporting internal operations. You're capable of juggling multiple priorities and take pride in delivering quality work with minimal oversight.
This role is ideal for someone with a few years of relevant experience who’s looking to grow their career in operations, logistics, or procurement.
Role Overview:
As an Operations Associate, you’ll play a key role in supporting in-office logistics, inventory management, and procurement coordination—including preparing quotes for hardware, software, warranties, and renewals. You’ll help ensure the smooth movement of equipment and information, support our internal team, and keep systems and records up to date.
What You Will Do:
Shipping & Receiving
- Manage incoming and outgoing shipments and update tracking information.
- Unpack deliveries, verify item contents against orders, and organize inventory.
- Prepare shipments, generate shipping labels, and coordinate pickups with UPS, FedEx, etc.
- Communicate shipment updates to the team and maintain accurate shipping records.
Inventory Management
- Maintain accurate inventory records in our PSA system.
- Store equipment in proper locations and keep storage spaces clean and organized.
- Conduct periodic audits and assist with surplus or equipment disposal.
Quoting & Procurement Support
- Assist in preparing customer quotes for hardware, software, warranties, and renewals.
- Ensure accuracy in product selection, configuration, and pricing.
- Place and track purchase orders; coordinate with vendors on delivery timelines and order status.
- Monitor shipping and configuration costs and flag discrepancies that could impact billing.
Office Coordination
- Manage office supplies and support in-office team needs
- Assist with general facilities tasks as needed.
Required Skills and Qualifications:
- 2+ years of administrative, inventory, purchasing, or operations experience
- Proficiency with Microsoft 365 (Outlook, Excel, Teams, SharePoint)
- Excellent organizational skills and attention to detail
- Ability to learn systems and processes quickly
- Strong communication and follow-through
- Dependable and proactive with a willingness to take initiative
Preferred (Nice to Have, But Not Required):
- Experience working in inventory, quoting, purchasing, or order entry
- Familiarity with shipping processes or working with carriers (UPS, FedEx)
- Exposure to PSA or inventory management systems
Physical Requirements:
- Ability to lift and move packages (up to 25 lbs)
- Comfortable using a computer for extended periods
- Able to move around the office, bend, reach, and manage physical inventory
