Role Overview:
As an Operations Specialist, you’ll support core in-office functions including shipping and receiving, inventory management, procurement coordination, and customer quote preparation. You’ll play a key role in supporting day-to-day logistics and internal operations, helping ensure accurate order tracking, organized storage, and timely customer responses. You’ll receive training on all systems—what we need is someone detail-oriented, eager to learn, and excited to contribute.
What You Will Do:
Shipping & Receiving
- Manage incoming and outgoing shipments and update tracking information.
- Unpack boxes, verify item contents against orders, and organize inventory.
- Prepare shipments, generate shipping labels, and coordinate pickups with UPS, FedEx, etc.
- Communicate shipment updates to the team and maintain accurate shipping records.
Inventory Management
- Maintain accurate inventory records in our PSA system.
- Store equipment in proper locations and keep storage spaces clean and organized.
- Conduct periodic audits and assist with surplus or equipment disposal.
Quoting & Procurement Support
- Assist in preparing customer quotes for hardware, software, warranties, and renewals (training provided).
- Review order details and help ensure accuracy in product selection, configuration, and pricing.
- Place and track purchase orders; coordinate with vendors on delivery timelines and order status.
- Monitor shipping and configuration costs and flag discrepancies that could impact billing.
Office Coordination
- Help manage general office supplies and assist with facilities tasks.
- Support the Operations team with various in-office needs and communications.
Required Skills and Qualifications:
- Strong attention to detail and a highly organized work style
- Ability to learn new systems and processes quickly
- Good communication skills—written and verbal
- Comfort using Microsoft 365 tools (Outlook, Teams, Excel)
- Dependable and proactive with a willingness to ask questions and take initiative
Preferred (Nice to Have, But Not Required):
- Experience working in inventory, quoting, purchasing, or order entry
- Familiarity with shipping processes or working with carriers (UPS, FedEx)
- Exposure to customer service, procurement, or operations roles
Physical Requirements:
- Ability to lift and move packages (up to 25 lbs)
- Comfortable using a computer for extended periods
- Able to move around the office, bend, reach, and manage physical inventory
